Presenter Instructions

Presentations and Posters

Please note the following information and guidelines for oral and poster presentations for the Radio Astronomy in the Era of LSST workshop, May 6-8, 2013 in Charlottesville.

Oral Presentations:

  • All Invited presentations should be 20 minutes long.
  • Contributed talks should be 15 minutes long.
  • There will be time for Q&A after each talk.

Please come forward with your computer (or flash drive) during the Q&A prior to your talk. Please read the following information carefully and contact the LOC if you have any questions.

Presenters will be given a VGA connection to the auditorium's projector. Adapters will be provided for Mac mini-displayport connections. Internet access will be available via a wi-fi connection in the auditorium. Limited table seating with power will be available on a first-come, first-served basis.

All speakers must test out their presentations during the break prior to their timeslot. If you are scheduled for the first session of the day, you must do this before the meeting begins in the morning.

It is *strongly* advised that presenters have their slide show and all associated files on a USB flash drive for use in case their laptop malfunctions or is unable to connect to the projector for some reason.

A PC running Windows XP will be available for presenters who chose not to use their own laptops. Presenters who wish to use the house PC must provide their presentation file(s) on a USB flash drive to one of the A-V staff who will load it on to the machine during a session break. Speakers will have the opportunity to test their presentation on the PC at that time. All presentation files should be delivered to the A-V as early as possible but no later than the break before their scheduled presentation. Speakers will be provided with a handheld remote for advancing through their presentation; this remote also includes a high-quality green laser pointer.

Audio playback through the P.A. system will be available via a 3.5mm audio cable, but speakers who wish to include audio in their presentation should notify the A-V staff of this as soon as possible.

**Important Note**

If you are using PowerPoint, please use the "Package for CD" function to create folder with your presentation files which can be copied to a flash drive. Detailed instructions for 2007 Powerpoint and 2010 Powerpoint.

Poster Presentations:

All poster presentations should be no larger than 4'x3' and vertical in orientation. They should be printed before you arrive. There are no printers within walking distance to the conference site to have this done. T-pins will be provided for hanging. Posters will be presented in Room 230 which will be open during registration Monday morning, May 6 and throughout the day. Attendees are encouraged to view posters during any or all of the following breaks beginning with lunch on Monday. There will be two poster session receptions following the meetings at 5:30 p.m. on Monday and Tuesday.  Poster presenters are expected to be available at their posters during these times. All posters must be removed by 10 a.m. on Wednesday morning.
