Poster and Oral Presenter Instructions

Talks

Oral contributions have three lengths (see our program): Invited Overview talks are 25 minutes (5 min questions), Solicited Talks are 20 minutes (5 min questions) and Contributed Talks are 15 minutes (5 min questions). Please plan accordingly so that there is time for the 5 min question period.

We will supply a Windows and a Mac computer to display the slides for the talks. Best is to upload your slides in ppt, pptx, or pdf format on our ftp server (and we do have keynote installed on the Mac). Be sure that movies and images are all included in the files. It is also ok to give us your presentation on a USB stick at the meeting, but we do not support using everybody's private laptop. To identify your talk, please use the format "surname_initials.extension" where "extension" is ppt, pptx, or pdf, e.g. "Nobody_A.pptx"

The ftp upload is as follows:

ftp ftp.aoc.nrao.edu
username: anonymous
password: [your email address]
cd incoming/iau303
bin
mput [surname_initials_file].*
bye

Posters

To fit the size of our poster boards, the maximum dimension for posters should be no larger than 4' x 4' (121cm x 121cm). At the meeting we will supply a identifying number for each poster that with a matching entry in the abstract book.

Please note that the posters have been sorted into the same Sessions (2-6) as the oral presentations. You will also notice on the oral presentation schedule that there is time in each Session for "Poster Previews". The chair of each Session will moderate these "Previews" but all poster presenters in that Session will have the chance to show ONE SLIDE and spend 1 MIN advertising their posters. These have been scheduled before coffee breaks.

Note that the deadlines for oral contributions as described below have passed. We still accept late poster contributions.

Oral contributions (talks)

The preliminary symposium program allows ample room for short contributed talks. If you want to be considered for giving a short (~15min) talk please submit a discriptive summary or abstract to iau303soc@nrao.edu by the abstract deadline of July 15. Shortly thereafter the SOC will select which talks fit in the program and will notify the authors around August 1st. Although we expect a fair number of talks to be selected, we are afraid that some requested oral contributions have to be considered for poster presentations only.

Please limit the abstract to half a page or less of ascii text or in latex format and indicate this is an abstract for an oral contribution.

Abstracts for invited contributions are also due by July 15, 2013.

Poster contributions

Abstracts for poster contributions are highly encouraged and also limited to half a page of ascii text or latex. Please specify that the abstract is for a poster. Because we value the presentation of the latest results we do not set an absolute deadline for relevant poster abstracts. However, if a poster abstract cannot be supplied by July 15, or it is anticipated that the abstract needs updating, please let the organizers know around this date (or as soon as possible thereafter) so that we can anticipate the number of posters and hopefully update the abstract book before printing.
